Formating Data in an MS Excel Data Sheet

This assignment will go over methods of formatting data in an MS Excel spreadsheet.

  1. Click on the 50States MS Excel link that is on the class site under Project Info then Using Spread Sheets. Near the bottom you will see a link that says 50 States. Sample 50 States Word Doc

  2. http://www.robertlamothe.net/rlamothe/msexcel_files/50STATES.xls
  3. Next go to File, then Save As, find your directory on the H drive and save the file in your grade directory, i.e. grade9, grade10, etc. Give it a name something like: 50states_bob.xls.

  4. Once you have saved it, open MS Excel then open that file that you just saved.

  5. Format the headings column so that it is pointing up at a 45 degree angle. To do that you will need to highlight the headings (not the State Heading),

then click on Format, cells, then the alignment tab. There you should change the angle to 45 degrees. Also, put a check in the box that says wrap text. That will wrap the text that is in the header columns.

  6. Next, highlight the population column all the way to the bottom including two blank spaces at the bottom.

  7. Next, hold CTRL key down and click on the last box empty box in the column.

  8. Click on the Paste Function buttion at the top.

  9. A window will pop up. Click on Sum. In that box will be the Sum of the population of all states.

  10. When the next window pops up, change the cell range to be D2:D51. The range that you want the sum for ends at cell D51.

The result should look something like the picture below.

  11. Next, hold CTRL down then click on the box above where you just put the SUM in. That's where you will put the formula for the Average Population of the states.

  12. Click on the Paste Function button at the top. Then click on Average in the window that pops up.

  13. That will place the average population for the 50 states. The range for the average should also end with D51.
